Job Description

The Executive Assistant position is full time and offers comprehensive medical, dental, vision, life and disability insurance, paid time off, paid holidays and a 401(k) savings plan. 
Essential Job Functions:
  • Performs a broad range of professional and personal administrative support duties to ensure that the office and related work are being managed timely, efficiently, and effectively
  • Drafts correspondence and presentations and prepares associated materials for various executive level staff
  • Processes timely and accurate travel and other expense reports
  • Acts as a liaison between the executive team and staff, identifying and creating solutions to a variety of requests;
  • Displays expertise using the MS-Office suite to prepare documentation, data, and presentations;
  • Schedules, coordinates and maintains appointments and meetings for executives and direct reports;
  • Organizes and coordinates corporate in house meetings and develops presentations and materials as necessary
  • Plans the details of several special events including the annual Supervisor’s Weekend, holiday parties, and charitable events;
  • Manages the Scholarship Program including notification, committee meetings, documentation and awards;
  • Schedules and prepares documentation of both business and personal travel arrangements for the executives and others as needed
  • Manages and screens incoming calls, forward important messages in a timely fashion and follow up as needed;
  • Prints, assembles, and organizes documents for executive staff members
  • Has a proven ability to multi-task while maintaining a professional attitude
  • Maintains familiarity with all policy and technology updates
  • Preserves the confidentiality of information
  • Takes minutes during meetings
  • Manage corporate credit cards, distribute monthly statements and ensure timely submission; Receives, completes and provides requested information for contractor prequalification requests
  • Provides switchboard relief as needed
  • Processes requests for corporate contributions, donations and events
  • Assists with overflow, special projects, and day-to-day tasks on an as-needed basis

Job Requirements

  • Expertise in MS-Office Suite (Word, Excel, PowerPoint, Outlook)
  • Construction administration experience or general knowledge of the construction industry preferred
  • Ability to multitask in a fast-paced office environment and prioritize work
  • Strong written and verbal communication skills
  • Ability to use independent judgement and initiative and to anticipate the needs of executive(s)
  • Excellent skills in proofreading of documents for spelling, grammar, punctuation and presentation
  • 5+ years of administrative experience working with Senior Leaders
  • Knowledge of or experience working with accounting software
  • Exceptional organizational, proofreading, written and verbal communication skills, with strong attention to detail and ability to work under strict time constraints and consistently meet assigned deadlines
  • Detail oriented self-starter with demonstrated ability to interact and communicate appropriately and professionally with senior management and Company employees at all levels
  • Solid time management skills with the ability to effectively handle multiple priorities with a professional, friendly attitude in a fast-paced work environment
  • Able to work with minimal supervision, work well individually as well as in a team environment, easily share appropriate information, act as a problem solver
