Job Description

Provide administrative support to Project Manager(s) in the following ways: 
  • Use various software to perform tasks including customer project specific software packages
  • Visit local project sites if requested / required
  • Interface with different departments and staff 
  • Input Contract drawings, specifications, & addendums into Penta / OnBase
  • Input initial submittal information into Penta
  • Assemble Kick-off Meeting booklet
  • Print or order Contract drawings & specifications
  • Process subcontracts & subcontract change orders
  • Obtaining and logging subcontractor insurance certificates
  • Process equipment purchase orders & equipment purchase order change orders
  • Process submittals & equipment releases
  • Obtain & coordinate equipment delivery information from vendor
  • Update delivery calendar and tracking shipments
  • Process RFI’s
  • Process Change Requests & Approved Change Orders
  • Prepare closeout documents
  • Maintain document files
  • Communicate with foremen about job status and processing their requests, including printing drawings, submittals, sending office supplies
  • Create and keeping up to date submittal logs, RFI logs and change orders
  • Approve invoices
  • Assemble job contract files, including obtaining job specific insurance certificates and bonds if required per contract requirements.
  • Participate in coverage of the front desk during receptionist’s absence
  • Maintain project JSA and safety meeting records
  • Scanning, copying and filing
  • Miscellaneous duties as requested

Job Requirements

  • Excellent computer and customer service skills
  • Ability to be flexible and handle a wide variety of tasks
  • Strong ability to prioritize
  • Outstanding communication skills with both internal and external customers
  • 2 years + administrative experience
